    Updating purchase order (PO) on the monthly calendar

    Dear all,

    I would like to add PO on the monthly calendar.

    So far, what i have done is to rearrange the PO lists using Pivot by by shipping dates and by invoice number. The, i put them on the calendar using VLOOKUP function.

    However, I am not sure how to put the multiple column values for each shipping date on the calendar.

    Your help is much appreciated.

    How many entries are you likely to have for a particular day, I was looking at the PO sheet and noted there are about 35 entries for 15.12.2014, will these all end up in the Pivot page?

    well.. surely having an updatable calendar would be best to me...
    I was just thinking to manually change the calendar monthly...

    I can't test this the way that I would like but here is a calendar that you set the month and year and the calendar changes to match that data. Formulae have been filled in to address the cells of the calendar but the Pivot Table is dependant upon linked data which I don't have.

    The first file that I uploaded had unexpected results after I changed the data source for the Pivot table. It now works. You will have to change the source for the pivot table back to the original link (I think) but this appears to work. The first upload totalled the column when there wasn't a match....not good. This just leaves a blank cell instead.

    Hold on using the latest calendar. It isn't updating properly from the Pivot table. I will try something different.

    I hope that I have solved the updating problem. I have entered a few rows of data for testing but that isn't enough to say that it is really correct. Please test before using.

    While trying the examples, i was wondering how to add the dates manually in Pivot sheet. When i was trying to do, it would not let me type.

    In a Pivot table you have to be real careful. Use the source data to add to a Pivot table. A Pivot table's purpose is to summarize the source data in various ways. It isn't meant for data entry. In fact some cells will not allow you to enter new data (I have experimented using my own Pivot Tables) while cells with month names just ended up sorting the dates in a rather odd fashion.

    Now back to you question. The Pivot table that you have is dependant upon source data. Add the dates to the source data along with the pertinent data for those dates, go to the Pivot Table and right click in the Pivot Table and choose REFRESH. The new dates will be incorporated into the Pivot Table. The Pivot Table will automatically expand down the worksheet to accommodate the new data as required.

    To find the source of the data for your Pivot Table in your workbook, if you are interested or don't know, click in the Pivot Table, click on the Options Tab on the ribbon, click on Change Data Source.

    The source for your table is actually the PO worksheet. To add new dates to the data in the Pivot Table add them to the data on the PO worksheet then REFRESH the Pivot Table.

    If you are wanting to add dates just for presentation purposes you can click in the Pivot Table, hit Ctrl + * to select the Pivot Table, copy it then in another area Paste Values. This will give you a copy of the table but you can edit it as you see fit as it is not longer tied to the source data....it is just a copy.
