Job Time Scheduling Issues

Hi,

I have an Appointments sheet that has the total job times from the Invoice Data sheet (manually entered for now). My question is how can I schedule jobs that have too many hours? In the case of Invoice #102 has 16.0 total hours.

Notice the jobs are shown on the Weekly Schedule sheet.

I appreciate any thoughts or ideas on how to schedule these extended hour jobs.

Thank you,
Bart

Is there a reason why you are sharing files in .xlsb format? Please be aware that some members will not open them as they are in a less secure format.

I was made aware they take up less space. What would you prefer? I don't want to get any violations.

Re: Job Time Scheduling Issues

#102 has 18 hours ... What am I missing?

My question is how can I schedule jobs that have too many hours?
Where have you manually mocked up what you want to achieve? Do you want formula or VBA?

They do, but you should only resort to them if the file is too big to attach.

Having said this, you should not really share entire projects: a sample workbook with just the detail relevant to the query is enough - a few KB at most.

Re: Job Time Scheduling Issues

This project is with mock up data so far. Formulas or VBA will be acceptable thanks.

I thought if an Invoice was too long to finish in one day it would carry over to the next day and day after that if needed.

Normal working hours should be 8 to 5 I suppose. I'm just not sure how to do this with an automatic type of system. This is why I am asking for advice from experts that have experience on here.

Thank you kindly

OK, but where have you mocked it up? You need to tell us what result you want and where it should appear.

#102 is not 16 - it's 18.

I did not mock up the extended hours yet I was referring to the rest of the workbook.

Re: Job Time Scheduling Issues

Sorry - I have no idea what that means!

Here's what we ask when you supply a sample workbook (see point #2):

1. Make sure that your sample data are REPRESENTATIVE of your real data. The use of unrepresentative data is very frustrating and can lead to long delays in reaching a solution.

2. Make sure that your desired results are also shown (mock up the results manually).

3. Make sure that all confidential data is removed or replaced with dummy data first (e.g. names, addresses, E-mails, etc.).

4. Try to avoid using merged cells as they cause lots of problems.

Unfortunately the attachment icon doesn't work at the moment (it hasn't worked for years, and despite our repeatedly asking the technical team who own the forum to fix it, they can't be bothered to do so), so to attach an Excel file you have to do the following: just before posting, scroll down to Go Advanced and then scroll down to Manage Attachments. Now follow the instructions at the top of that screen.

Please pay particular attention to point 2 (above): without an idea of your intended outcomes, it is often very difficult to offer appropriate advice.

I have no idea on how to do this yet is why I am asking. I was hoping for a creative solution from someone on here that may have faced a similar issue.

Re: Job Time Scheduling Issues

OK - but we can't offer a creative solution without some parameters. I have no idea at the moment, not even remotely, of what you are trying to do. This is the closest I got:

I thought if an Invoice was too long to finish in one day it would carry over to the next day and day after that if needed. Normal working hours should be 8 to 5 I suppose.
It's all a bit vague.

How would you EXPECT the 18 hours to pan out? Give us something concrete and we can come up with a solution.

Re: Job Time Scheduling Issues

I thought to start 8 am on day 1 until 5 pm which would take care of 8 hours allowing 1 hour lunch break. Day 2 same scenario which would take care of another 8 hours. Day 3 start at 8 am and finish job at 10 am.

Re: Job Time Scheduling Issues

OK - so how do you want it to look? Is this to be calculated all in one and the results to be entered here?

Excel 2016 (Windows) 32 bit
J
K
L
4
APP DATE
START TIME
END TIME
5
30/08/2019
8:00 AM
2:00 PM
6
7
26/08/2019
8:00 AM
10:00 AM
8
27/08/2019
6:00 AM
11:00 AM
9
28/08/2019
6:00 AM
11:00 AM
Sheet: Appointments

If so, you may need to consider a column for the end date as well.

What about weekends and holidays?

Re: Job Time Scheduling Issues

I copied it over to Sheet 1 and manually inserted rows to allow for the extra time. I also added another column for END DATE but not sure how to implement this.

What do you think is it possible?

Does it need to be on separate rows? I was thinking more like this:

J

L
M
4

Re: Job Time Scheduling Issues

Typically no work on weekends or holidays. Might have to incorporate the actual holiday dates so they aren't included in the job scheduling.

I like the one row per invoice that you have shown.

Re: Job Time Scheduling Issues

By the way, your timings are not logical. Why would you spread 18 hours over three days when it can be done in two (9 hours per day)? Are you secretly building in a lunch hour? If so, that also needs to be taken into account.

Yes, you would need to specify the holiday dates somewhere in the workbook.

I've run out of time for today - sorry. Hopefully someone else will pick this up.

I think you are at least beginning to see what I meant about providing us with parameters - this will stand you in good stead next time you start a thread (and in this one).

Hello again,

I have made some changes to the Appointments sheet. There are cells L5:M9 with orange fill color that I please request formulas. I put some notes in the yellow boxes and hopefully have enough detail to figure out the logic.

Thank you very much in advance for your help,

I'm sorry - you have to continue here. This happens a lot - you will get help. As it happens, I have already put out a request for assistance here as I am not able to continue myself today.

Just so that you are aware, those who help here do so voluntarily and of their own goodwill, so help may not come as quickly as you might like. It may take a few hours - some of our regulars may not even have looked yet because they are in a different time zone. Thanks for your understanding and patience.

Re: Job Time Scheduling Issues

You seem keen to start new threads when you add a new requirement to a workbook in which you have already received advice.

Why do you do this? I've previously asked you in situations like this not to do that and where you want some new help with the original workbook to continue in that original thread. I see this thread, started only this morning, now has over 30 responses. Having previously asked you stick to the original thread I would normally have closed this thread much earlier but given all that's been posted I'll leave it be this time. But note for the future. I do not expect to see new threads opened for this workbook as you continue to develop the system.

It's also in your own interests to stick to one thread per workbook since those who have previously helped with the workbook will automatically receive a prompt about a follow up and they'll already be au fait with the subject matter and be more inclined to dip in again.

I see you previously reported me since you objected to my closing a previous thread of yours. That's up to you of course but I have to say that since I'd previously explained why it was being closed I'm surprised that you paid no heed and have started this one.

I suppose you don't want me on here which is fine. Don't beat around the bush about and just close my account if that is how you feel.

I was told by some users it is better to start a new thread if it is about a different subject and within the same workbook.

So since there aren't any set guidelines about this and the rules in your mind matter more than helping someone that means no harm whatsoever do as you wish.

Bart, first of all, please do not feel that we dont want you here - of course we do

If you feel the question is closely related to a question you have already asked, then consider sticking with the same thread.

If the question is based on the same data/workbook, but is unrelated, then it is best if you start a new thread.

The reason being, if it is closely related, then the work already done, may be of use moving forward, so it may be useful to refer back to it. If is is different, then was was done before really has no relevance to the new question.
1. Use code tags for VBA.
Your Code
(or use the # button)
2. If your question is resolved, mark it SOLVED using the thread tools

So since there aren't any set guidelines about this and the rules in your mind matter more than helping someone that means no harm whatsoever do as you wish.
I don't intend debating this matter further but for the record.
You can suppose as much as you like but I have no wish to close your account. I do expect you to listen to what you're asked to do.

And for the record as far as I can see I've spent quite a bit of time on your earlier workbook, added additional functionality in connection with a new database layout and offered a better way forward - which I see you have taken up and have included. I think I have helped you considerably so I resent your implication that I don't care about this.

Re: Job Time Scheduling Issues

You closed a thread that was in the same workbook but a totally unrelated subject. I would prefer that you take the time to read a thread before jumping to a conclusion. But it may not be within your abilities or perhaps lack of effort to do so.

I was picked on by you for what should have been left alone so I could have received help.

There are some on here that I have found are genuinely concerned and willing to help someone that needs help.

I have voiced my opinion so please do not reply unless of course I am violating some rules. It is perfectly clear to me how you feel.

Thank you
