    Exclamation Consolidate time sheet by project

    Hi ,

    I would really appreciate any help on the following task

    I have been asked to develop a template that automatically calculates the hours spent on all the projects/assignments conducted by the department

    Information will be obtain from the time sheet for each employee, attached is the time sheet template for one month, so by the end of the year each excel workbook (i.e employee timesheet) will have 12 sheets

    Any inputs?

    Hi,

    The best advice I can give you is to change your layout. You are making the same mistake that I see time and time again. You are mixing up the two elements of data capture and final reporting. The two require quite different treatments.

    A lot of people start by designing the form that they expect to see as the final report, and then wonder why it's so difficult to subsequently analyse and summarise or extract information from it, Yours exhibits all those features.

    You should always capture data in a simple two dimensional table and worry about reporting information from it afterwards. Without exception doing this you will always be able to easily obtain management information. Rarely is this the case if you start the other way round.
    You will also throw open the whole wonderful world of the powerful Pivot table functionality.

    So in your case create a two dimensional database table of 7 columns and rows where the columns are

    Date
    Project Group ' will contain values like Assurance, Follow Up, Consulting,...etc if these are relevant to any final reports
    SI Number ' again if this is releavnt and you will want to know totals by SI
    Employee Ref
    Project Number
    Project Element ' will contain stuff like Planning, Fieldwork, Reporting, Admin ..etc.
    Hours


    The values for all the above apart from date could be captured by using Data validation lists and picking the appropriate value which will avoid you having to manually enter stuff and speed up data entry.

    The way I usually organise this is to have a data entry row above the data in which new records are captured. Then a button linked to a macro which simply copies the new record and adds it to the database
