    Mail Merge: Multiple Records per Letter (One Name, Multiple Dates)

    Hi,

    I was wondering if someone could please help. I have tried using a mergefield code but it was relevant for 2010 office.

    I want to create a mail merge from an excel workbook. The workbook contains staff and their absence record.

    For each page, I want it to display the staff member and all their absences.

    I can't figure out how to mail merge so that if it is the same staff member to display their absence and only move on to the next record if it is a different staff member.

    I've attached an example Excel file.

    Hi Ali

    It is mors about how to do the mail merge rather than Excel. I think I need help with the word part rather than how to setup the spreadsheet.

    As I said, provide a mock up of how the Word document needs to look and we can then decide where it's best placed - either way, you can't have two threads running on it.

    Hi

    So I setup some mergefields as follows:
    Attachment 828478

    I want it to have the staff members name at the top (so Staff 1 appears multiple times in the spreadsheet)

    Then only their absence information to display. So if the staff member is the same it displays the next absence. So one staff member will have many absences (I think this is known as a Many to one?)

    The question mark part is the part I can't quite get my head around. I've tried using rules, Next If.. but it doesn't seem to do as I expect.

    The spreadsheet is a report generated from our MIS so I want an easy way to extract this periodically and create these reports.

    Is there a maximum number of records to display per staff member (absences)?

    Hi Ali,

    There isn't a maximum but the maximum someone has is around 30.

    Ok - so your data has the potential to spill onto two or more sheets of A4?

    I think you are right about the location for this thread. I am going to move it and update your thread title to try to attract the right help.
