    Template for tracking time on tasks - to roll up to a manager report

    Does anyone have a template that tracks time on task for employees. for example how much time on each thing you work on thru out the day? how much time on email, projects, meetings, problem solving, HR issues.. ects.. If you do and are will to share that would be awesome. Each person will be filling out their own sheet daily, and it would roll up into a managers report.

    As a basic template you should be able to use this. It assumes that all work is completed on same day.
    Sheet2 has a list of tasks that can be selected - you would need to adjust the named range. So Column E has data validation configured.
    There are a couple of ways to roll it up into a management report. I haven't addressed that in this sheet. You'd have to indicate some preference. It would likely require some VBA code.

    First, how do you want the roll-up to look?

    Second, Is it 1 sheet in a the same workbook per employee, or 1 workbook per employee?
    If 1 sheet in the same workbook, it's a bit easier from a roll-up perspective, but will cause sharing issues.
    If each employee has their own workbook, no sharing issues, but the roll-up becomes more complex.

    Third, how are different months/years handled?

    You have to provide some requirements/specifications on the roll-up

    In my company we call this Time & Tally.

    I keep track of every second every person spends so I can calculate overall working efficiencies, etc.

    Here's a sample of something similar to what I use.

    Hey, I really like the Time and Tally sheet.
    So do you type in the name on the summary of the person you want to see? and if so, is that another sheet will all the names?

    or do you have a "summary" sheet for each emplolyee?

    When I have to put the magnifying glass over people, I usually generate a sheet for each employee so that if and when I need to provide the documentation to managers and/or HR there's no potential information spillover.

    Similar to what hectop expressed, it would be best accomplished with VB if you wished to keep the Summary and employee sheets separate. You could theoretically collect spreadsheets with a standardized name via email, and then save them to a specific folder that also contains a summary workbook. Code within that workbook would then collect the details of each spreadsheet also in that folder and summarize them by name, work type, etc.

    My VB is garbage, so I'll leave that to the pros.

    Hectop, Honestly, I not sure what might work the best. I was just ask to create something where each employee could put in the time they spend on various items though out the day.
    I think one workbook with a few employees would be ok.. ( I have one dept with two sections, so I will probably end up with two, one for each section).

    I open for all imput from anyone, two heads are better that one, before I dive in and start to create something.

    Daffodil discusses some of the ways to combine. You need to determine how it would be stored.
    If people are going to keep this open during the day to keep track then they should have their own workbook. You can share, but there are process issues involved. (I've worked through something like that - some data can get lost sometimes)


    It sounds like a simple ask, but when you get down to the processes involved, it gets a bit more complicated.

    One of the admins on this site, Jerry Beaucaire, wrote a beautiful piece of code that can be used to different password protect every sheet in a range so that a workbook could be theoretically shared without any of the regular users being able to see any other users' data.

    A master password would then be able to see everything. Here's the link to master Beaucaire's sample file.

    Using the admin password, you would just create a password for each users and put the tab name they have access to. You then have a summary tab where all the user tabs feed into.

    Only concern there is that if multiple people what to update the workbook at the same time, they can run into sharing contention which can corrupt the workbook.
    From a business process point of view, people would want to update this as they work during the day. Otherwise they have to keep notes and then update the sheet at the end of the day.

    passwords for LaDonna - closed.xlsm

    passwords: bs123, rd123, bb123, bw123, lr123, & admin

    Each password opens up a different part of the workbook.
    • the Summary tab shows the rollup, with a date range that can be set to selectively pull records
    • the List tab shows the dropdown options
    • the Passwords tab shows who has access to what and with what password; you can change the passwords in column A
    • the Front tab is the landing zone that everyone hits first
    • only the Admin password has access to everything
