    How to fill a row with a certain colour pending on a persons name

    Im a little stuck i have a daily roster and i need a colour attached to 10 names, i have used conditional formating to highlight the entire row, only problem is sometimes i don't need the row or name highlighted, just a no fill. The names change rows as i do the roster each morning.i have tried a check box to try and turn off conditional formatting but then i get a true or false in the name cell. AREA DAILY ALLOCATION VER 1.1.xlsmAREA DAILY ALLOCATION VER 1.1.xlsm just wondering if anyone could please help me with this, it would be appreciated step by step.

    Hi Shane
    Could you give a bit more detail? When do you want the rows highlighted and when don't you?
    You should be able to add your 'no fill' format as the last in the list of conditional formats attached to the cells, so that it is applied if none of your other name-driven conditional formats apply.

    Have a look at the conditional formats in the attached and see if that helps AREA DAILY ALLOCATION VER 1.1 copy.xlsm.

    Thanks so much for replying paul basicly each person has an area to look after, i think rather than a name being attached to a particular colour to highlight a row, as some people have the same name, i would be better off attatching it to thiere specific id, in this case Y105 and Y63 as in the officer list, and so on for the other officer ids, each with a different shade. So to explain a little better if one person is not in, then another person doubles up and looks after that persons area and that is when the highlighted rows come in. i would highlight AREA 1WEST AND 1EAST with the lets say OFFICER Y119 in the 1WEST ROW and 1EAST ROW to show that today they are bdoing both areas. If i have a full crew then the row for that person is not highlighted, its just a normal day and they would just have the one area. If i could turn off and on conditional formatting with a button or check box for each officer id so i could have thier row highlighted or not hihglighted it would be a great help. Im begining to realy love this excel but ive so much to learn. ill have a look at the file and see what i can make of it, thanks again for your time paul, very kind of you and is apreciated.

    Hi Shane

    Here's how I would do that (if I understand you correctly):AREA DAILY ALLOCATION VER 1.1 copy (1).xlsm

    Have a look at the conditional formatting formulae in this to see if it does what you want.
    I've assumed:
    - anyone with more than one area to cover needs highlighting
    - you want different colour highlights for each officer (you can add these by adding more conditional formats)

    I've also included as an example a couple of checkboxes that effectively turn off highlighting for the row concerned by looking in the cell linked to the checkbox and applying no fill to the row (and stopping if that's true) first in the conditional formatting rules list.

    No doubt you will want to develop this further for which it will probably be helpful to pick apart the CF rules (including the relative / non-relative cell referencing in the rule formulae and ranges) and the checkbox formatting. You could for example quite easily use checkboxes to turn off all highlighting for a given officer (rather than doing it rown by row as here).

    This is exactly what i wanted ive been trying to work out how you done it was there any vba attached to this, i dont suppose you could walk me through it so i can apply it to the other officer numbers

    Hi Paul,
    I had a bit more of an in depth look at it and i get the most of it i think but the check box and the linking of it is where I'm stumped but i shall keep on digging until i finally work it out. But if you are able maybe a pointer or two would help. If not thats fine, its better i learn how to fish rather than people catching fish for me. Thanks mate appreciate your help.
