Plotting points from Spreadsheet onto Calendar

    classroom shedule.xlsx

    Hello,

My apologies if I am doing anything wrong on this post this is my first time on this forum!

I am trying to create a schedule to show what locations and classrooms will be in use at a given time.

In the main spreadsheet I will have the dates, location and specific classroom information number of people etc...

I want to create a calendar and have those points automatically plotted into the correct place in the calendar when I update the master sheet. Also I would like to figure out if on the graph it can specify the number of people who will be attending.

I attached what I have started with some sample data to avoid any confusion. I have used excel before but nothing this advanced.

    Any help would be appreciated.

    Thank You

If you stop merging the cells and let the data to flow on all cells then it can be easily achieved using a simple formula approach.

Ok so I will un-merge them and what formula would I use?

Re: Plotting points from Spreadsheet onto Calendar

    Hi jutaemma

To answer your second question first, a cell can have pretty well whatever you want in it - all you have to do is to figure out what you want.
As an example,. I was able to (sorry sixth sense ;-) merge the two colored ranges you have, and make the contents of the first one read:

    Class 123 3 students

and for the second one, to make it read

    Class 456 5 students.

So that much is pretty well up to you!

However, even a simple thought about where you will want to go after this, makes me ask the following questions:

    1) When you have a pretty full calendar, how will you find free space for a give time period, or how will you find free time for a given space. (The penalties of success, right?)

    2) You don't indicate how you would change either the place or the time period of a class, and that would make a simple calendar much more complicated.

A lot depends on whether this is a simple class assignment, or whether it is a real-world application. If the former, then you can presumably vet the data to avoid conflicts, but if it's for real then I think you need to take step back and think about the wider issues.

Let us know which you're dealing with, because the help is different in each case!

    HTH

    Tony

    Tony,

This is actually (hopefully) for a schedule I will use for work.

I was hoping when I added information to the main spread sheet that it would show in the calendar as well as if I delete something from the main chart it will be deleted in the calendar. I am just not sure how to connect the two, or what formulas that would require.

As far as the other issues this could bring up I was hoping this would be a starting point and the schedule could be developed more as different issues arise, but any suggestions about this are greatly appreciated.

    Thank You

Re: Plotting points from Spreadsheet onto Calendar

This is really close to what I am wanting except when I change a date on the master sheet or add information to it, I get all # signs on the calendar. Any suggestions for this?

Can you please show the sample file with formula to know in which case the formula is getting failed?
